1. Overview
At Essgi Infotech Private Limited ("ESSGI"), we strive to deliver the best possible experience with our Attendance & HR Management System. This Refund & Cancellation Policy outlines the terms under which refunds and cancellations are handled for our SaaS subscription services.
2. Subscription Plans
ESSGI offers annual subscription plans with the following structure:
- Starter Plan: ₹2,999/year for 5 users, with additional users at ₹499/user/year
- Business Plan: ₹4,999/year for 10 users, with additional 5-user packs at ₹1,499/pack/year
- 2-Year Plans: 10% discount on the total amount for upfront 2-year payments
All prices are exclusive of applicable GST (currently 18%).

4. Refund Eligibility
a) Within 7 Days of Purchase (Full Refund):
If you are not satisfied with our service, you may request a full refund within 7 calendar days from the date of purchase. The refund will be processed to the original payment method within 7–10 business days.
b) After 7 Days but Within 30 Days (Pro-rata Refund):
If you cancel between 8–30 days from purchase, a pro-rata refund will be calculated based on the unused portion of your subscription, minus a 15% administrative fee.
c) After 30 Days (No Refund):
5. How to Request a Refund
To request a refund, please contact us with the following details:
- Your registered email address
- Order/Payment ID (from your confirmation email)
- Reason for the refund request

6. Cancellation Policy
- You may cancel your subscription at any time by emailing us at info@essgi.net.
- Upon cancellation, your account will remain active until the end of the current billing period.
- No further charges will be made after cancellation since we use manual (non-recurring) payments.
- Your data will be retained for 30 days after the subscription expires, after which it will be permanently deleted unless you request earlier deletion.
7. Non-Refundable Circumstances
Refunds will not be provided in the following cases:
- Failure to use the service does not constitute grounds for a refund
- Downgrade of plan (difference is not refundable)
- Violation of our Terms & Conditions leading to account suspension
- Requests made after the 30-day window
8. Refund Processing
- Approved refunds are processed within 7–10 business days
- Refunds are credited to the original payment method (bank account, UPI, or card used)
- Bank processing times may vary; please allow up to 5 additional business days for the credit to reflect
- GST amount paid will also be refunded proportionally
9. Plan Upgrades
If you wish to upgrade from Starter to Business plan during your subscription period, the upgrade cost will be calculated on a pro-rata basis. The difference amount will be charged for the remaining subscription period.
